We are seeking an organised and detail-focused Zs Admin Partner to support the smooth running of The Old Hall in Fiskerton, just outside of Lincoln. You will play a vital role in ensuring compliance, managing administrative workflows, and supporting our management and care teams across all areas of operations. This is a key position for someone with strong organisational skills and a commitment to safeguarding standards.
Main Responsibilities
Compliance & Quality Assurance
- Monitor all system generated alerts for The Old Hall and follow up with colleagues in real time to ensure compliance
- Monitor Atlas Compliance Tool and follow up actions required
- Carry out weekly compliance checks: assistive technology, Legionella flushing, fire checks and generator checks (where applicable) with appropriate training provided.
- Carry out monthly compliance checks: first aid boxes, burns kits, eye wash stations, fire checks, carbon monoxide detectors, evacuation chairs (where applicable) and defibrillators
- Support the management team with completion of audit actions
Administrative Operations
- Ensure Core Team meetings are scheduled and take place
- Use Zone Scribe AI Tool to populate meeting minutes and ensure actions are completed
- Answer the house phone as primary lead whilst on shift
- Carry out stock checks and submit purchase orders for food and other items as requested by home managers
- Submit order requests for maintenance; liaise between maintenance team and management to ensure tasks are completed appropriately
- Support any additional administrative tasks as required by the Registered Manager
Care Planning & Documentation
- Complete and update care plans, risk assessments and associated documentation from staff meetings, core team meetings and reviews for approval by the Registered Manager
Finance
- Complete finance checks when on shift
- Support home managers with repayments and Strip card management
Health
- Support managers and shift leads by submitting and managing Ask My GP requests when on shift
- Support shift leads with ordering prescriptions where required
Review Co-Ordination
- Liaise with the Reviews Team to co-ordinate compilation of review packs at home level
- Keep the Registered Manager informed of progress
HIMS
- Support Registered Manager and HR Partner with basic HR process where required
